Two settings on every request decide what happens after the first pull: how long FinShare may keep the QuickBooks connection, and whether updates need the owner's approval each time.

Access with an end date
A 90-day approval starting October 1. Revoke early to see what changes.
Each pull happens inside the window. On day 90 access ends without anyone having to remember.
Show as a list
| Day | Event |

| 0 | Approved, first pull |
| 34 | Roll forward to Oct 31 |
| 64 | Roll forward to Nov 30 |
| 90 | Access ends; FinShare revokes its QuickBooks connection |
The access window
You propose a window when you create the request. In the app the choices are 1 month, 2 months, 3 months, 6 months and 1 year. The owner sees it on the review page and can pick anything shorter when they approve. The window starts when they approve.
During the window you can refresh or roll forward the request. When it ends:
- the request moves to Ended;
- any update still waiting for the owner is cancelled;
- FinShare disconnects from the company's QuickBooks and revokes its token at Intuit, unless another live approval still needs that company.
Reports already delivered stay available to you. Nothing new can be pulled. To keep going, send a new request.
Ending early
- You can click Stop access on the request page. FinShare stops pulling and disconnects unless someone else still has approval.
- The owner can revoke from their manage link, from the access page, or by disconnecting inside QuickBooks. You're emailed when an owner revokes. See Managing and revoking access.
How updates are approved
| Setting | What you pick in the app | What happens when you refresh or roll forward |
|---|---|---|
approve_each | Ask the owner each time (default) | FinShare emails the owner a link listing exactly what this update will pull. Nothing is pulled until they approve. |
standing | Standing approval | The update runs at once, until the access window ends. |
If you ask for standing approval, the owner sees that on the review page and can switch to Ask me each time when they approve. Their choice is what counts. The request page's Details card shows "Standing approval" or "Owner approves each".
The owner doesn't sign in to QuickBooks again for an update while the connection is live. An update approval link lasts 14 days, or until the access window ends if that's sooner.
Refresh
Refresh pulls the same reports for the same periods again. Use it when the books for a period have changed: a late close, an adjusting entry, a reclass.
- Open the request and click Refresh.
- Confirm. Under standing approval the pull starts. Otherwise the owner is emailed.
Refresh includes every report on the request, including fixed-period ones.
Roll forward
Roll forward moves the period end to a later date and pulls the reports for the new periods. See Roll forward.
Rules that apply to every update
- One update at a time. You can't start a refresh or roll forward while another is waiting for approval or still pulling.
- Same reports, same basis. Periods only move forward. To add a report or change the basis, create a new request.
- The period end can't be in the future.
- If the QuickBooks connection has lapsed, Refresh and Roll forward are disabled until the owner reconnects. FinShare emails the owner when this happens, and the request page shows a notice.
