How to read the catalog
Period. Some reports cover a date range, some are a snapshot as of one date, and the balance sheet can be either.
- Date range: Profit and Loss, General Ledger, Trial Balance, Statement of Cash Flows, Sales by Customer Summary.
- As of a date: the four aging reports.
- Range or as of: Balance Sheet. As of a date gives you one balance sheet. A range with monthly columns gives you a balance sheet at each month end.
Basis. Accrual or cash, for reports where QuickBooks supports the choice: Profit and Loss, Balance Sheet, General Ledger, Trial Balance and Sales by Customer Summary. The Statement of Cash Flows and the aging reports have no basis setting. See Periods and basis.
Columns. Total only, or broken out by month, quarter or year. Available on Profit and Loss, Balance Sheet, Trial Balance, Statement of Cash Flows and Sales by Customer Summary. The General Ledger and aging reports come in their standard layout.
Notes on specific reports
Profit and Loss
The standard QuickBooks P&L: income, cost of goods sold, gross profit, expenses, net operating income, other income and expense, net income. Ask for monthly columns on a trailing period when you want to see seasonality or rebuild an adjusted EBITDA by month.
Balance Sheet
As of the period end by default. For a run of month-end balance sheets, choose a range such as trailing 12 months and set columns to Monthly.
General Ledger
Every transaction by account for the period. Long periods are pulled in monthly chunks and joined back together, because QuickBooks caps how much it returns in one response. If a single month is still too large, FinShare splits it in half again, down to a single day. The joined file is checked to contain every transaction exactly once. See Tie-out.
Trial Balance
Debit and credit balances by account for the period. Tie-out checks that total debits equal total credits.
Statement of Cash Flows
Operating, investing and financing activities, net change in cash, and beginning and ending cash. No basis setting.
A/R and A/P aging
Summary gives one line per customer or vendor with aging buckets and a total. Detail lists each open invoice or bill. Aging is calculated as of the report date. Both are as-of reports, so they're pulled as of the request's period end unless you set a fixed date.
Sales by Customer Summary
Sales by customer for the period. Useful for concentration analysis; pair it with yearly or monthly columns.
What isn't available
- QuickBooks Desktop. FinShare connects to QuickBooks Online only.
- Reports outside this list, custom reports, and filters by class, location, customer or vendor.
- Changing aging buckets or other QuickBooks report options beyond period, basis and columns.
